Enable Two-factor authentication
Please note: A user needs specific permissions to enable this. This is generally done by the Admin user of your organization.
To enable two-factor authentication (2FA), navigate to Administration and then to Settings. Head over to the tab Security and check the box "Enable Two-factor user login". Two-factor authentication is now enabled for your organization. This still needs to be enabled per user. There are two two-factor authentication methods that can be used:
The E-mail address of a user needs to be confirmed before two-factor authentication using E-mail can be used. If this has not been completed yet, another confirmation E-mail can be sent in two different ways:
- Single user: Head over to Administration and than Users. Edit the user, check the box "Send activation E-mail" and select Save.
- Multiple users: Head over to Administration and than Users. At the top right a button is shown "Resend E-mail confirmations". If selected, a confirmation E-mail will be sent to all users that do not have a confirmed account yet. Please note, only users that are shown (based on what the logged in user may see) will receive the E-mail.
As soon as the user confirms the E-mail address by selecting the Verify button in the E-mail, two-factor authentication can be used.
Only user accounts with a confirmed E-mail address may use this 2FA method!
Authenticator (E.g. Google or Microsoft)
The use of Authenticator needs to be enabled before this method can be used. Please follow the following steps:
- Head over to the top right button to manage your account
- Select the menu-item My settings
- Select the second tab Two Factor Login
- Select the button Enable
- A QR-code is shown. Scan this with your Authenticator App
- Press Save
Authenticator is now enabled for this user account.
Use Two-factor authentication
Once the Two-factor authentication methods are set-up, users are able to use it. If a user logs in with Two-factor authentication enabled, one/multiple additional screen(s) is shown before logging in. This consists out of the following steps:
Select verification type (method)
If more than one authenticatioin methods are enabled, a screen is shown to select the preferred method. The security code will be sent using the preferred method. The possible options are:
- Authenticator
Select verification type (method)
Enter the security code sent through the preferred method. Please note, a security code needs to be entered within 90 seconds.
In the App it is possible to resend the verification code at any time.
